During the build-up, running and dismantling periods the pavilions are open from 8 a. m. to 8 p. m.

Overtime work in the pavilions shall be authorized by the Pavilion Management.

IMPORTANT:

The exhibitor holds a full responsibility for the safety of exhibits and other exhibition property. Individual security for your stand can be ordered prior to the Show at the Servicexpo.

Stand cleaning shall be arranged by the exhibitor. You can also order cleaning service for your stand at Servicexpo.

When planning advertising activities and demonstration of exhibits at work on your stand, please note that the sound pressure level shall not exceed 75 dB on the boundaries of the indoor stand and within 5 m of the borders of the outdoor stand. This restriction is imposed in the interests of the visitors and other exhibitors. The sound pressure level is controlled by metering equipment. The violation of this restriction is subject to penalty and disconnection of the stand from electrical supply.

The delivery of LCD and plasma screens, high voltage projectors, loudspeaker systems and stage lighting equipment should be authorized by the Servicexpo.

The Application for Delivery/Removal of Exhibits and Equipment is valid only after it has been approved by the Servicexpo. Unauthorized delivery is subject to penalty (Please refer to the Penalties section of the Rates for Services).

II. PREPARING FOR THE EXHIBITION

2.1. Paying for Participation

Please be reminded that ALL RENTAL, INSURANCE AND SERVICE CHARGES shall be paid in full into the account of Expocentre, ZAO, by the dates indicated on the invoices.

Exhibitors that fail to pay off the debts for the stand space, equipment or for additional services by May 22, 2012 will be refused access to the exhibition site for stand construction.

To receive the exhibition accounting statement, please submit the following documents to the Exhibition Management Department:

·  Contract for participation in the exhibition duly signed and stamped (2 original copies);

·  2 stamped and signed floor plans, showing the location of your stand in the pavilion;

·  5 copies Power of Attorney (D.01) issued to the person authorized to sign the Acceptance Certificate for Rented Exhibition Space and Services, and obtain vehicle and exhibitor passes.

In case the authorized representative acts under Power of Attorney, he/she should sign the Acceptance Certificate for the rented stand space, submit two originals of the contract to and then collect one original of the contract, the invoice and the Acceptance Certificate from the Exhibition Management Department.

The exhibition accounting statements are obtainable from the Exhibition Management Department on the last working day of the exhibition.

In case the Exhibitor’s representative is not authorized to sign documents, he/she should collect the documents from the Exhibition Management Department, have them signed by the Exhibitor and return the documents to the Exhibition Management Department which will issue the exhibition accounting statement.


2.2. Applying for Services

Should you require additional services (except electric power to light the stand: 100 W per 1 sq. m. is already included in the space rental charge), please fill in the application form (see Samples of documents, Application for Services) and send it to Servicexpo.

* The space rental covers the cost of stand lighting within the limits of 100 Watt of installed capacity and 220V voltage per 1 sq. m of the rented space.

If you use energy-consuming exhibits or extra lighting equipment at the stand, it is necessary to order extra power-supply source (See the Rates for Services Section) All installation and wiring works at the stand, including installation of 380V sockets to connect production equipment, are carried out by Expoconsta ZAO, Expocentre’s General Contractor (if ordered). If electrical works are done by the Exhibitor’s contractor or a third party, it is necessary to obtain a permit from the General Contractor that allows carrying out electrical works. PAYING FOR SERVICES

Please note that the application for additional services should be submitted and the payments transferred prior to the beginning of the construction works (not later than May 22, 2012).

The services are rendered ONLY AFTER the service charges have been fully paid.

The payment for services may be made in cash at Servicexpo cash office during the build - up period.

IMPORTANT!

Your company shall issue Power of Attorney (D.01, the form is attached) on a federal form or on a company letter-head to the representative of your company who is authorized to sign financial documents, receive passes and process orders at Servicexpo. Power of Attorney shall be issued in triplicate.

LATE ORDERS OR ORDERS DURING THE BUILD-UP PERIOD

Please note that in case of late orders some services and equipment might be unavailable.

Applications for mains connection during the build-up period are accepted only if technically possible.

If you employ a third-party stand-building contractor or build the stand by yourself, please follow the regulations of Section 6 of the General Terms of Participation in Exhibitions Held at Expocentre Fairgrounds.

IMPORTANT:

Any indoor suspended advertising structures (banners, flags, rotating cubes etc.) shall be confined within the stand area allocated (within 1 m of its boundaries) and may not project into or over any gangway. Any overhead works must only be performed by the competent staff of Expoconsta, ZAO.

III. PROCESSING ADMISSION DOCUMENTS, DELIVERING EXHIBITS AND EQUIPMENT

The passes are issued in a printed form only and display the name of the holder and the name of the company.

3.1. Receiving Passes

To obtain the Exhibitor Passes for the Exhibitor’s staff as well as Work and Service Passes for the contractor’s staff involved in stand construction, the Exhibitor shall:

1. Issue Power of Attorney (D.01) in triplicate.

2. Submit Applications for Work and Service Passes (D.02) and Exhibitor’s passes (D.04) (1 copy).

The applications should be printed on the letter-head of the company, duly stamped and signed by the company’s CEO. The applications should also show the names of technicians, engineers, builders and other Exhibitor’s and Contractor’s staff involved in construction and dismantling of the exhibition stand.

3. Collect passes and permits on presentation of Power of Attorney (D.01) and Forms (D.02, D.04).

To speed up the procedure of getting passes, please submit the list of staff who will work on the stand during the exhibition as well as the list of personnel involved in the construction-dismantling works IN ADVANCE (Deadline for submission is May 4, 2012), e-mail: *****@***ru,

The Exhibitor Pass (badge) is valid for entrance to Expocentre Fairgrounds throughout the build-up, running and dismantling periods of the exhibition.

Exhibitor Passes are issued as follows:

·  1 pass per each 3 sq. m. of rented space – if the rented space is up to 90 sq. m.;

·  30 passes – if rented stand space is 90 sq. m.;

·  1 extra pass per each 6 sq. m. of rented space – if rented space exceeds 90 sq. m.

Additional Exhibitor Passes are available at Servicexpo either via bank transfer (by a preliminary order, the Application Form) or for cash.

Technicians’ Passes are valid for entry to Expocentre Fairgrounds during the build-up and dismantling periods only.

IMPORTANT:

Stand-Building Contractors shall receive passes for their staff themselves.

Exhibitors and Contractors shall wear their passes on the premises of Expocentre Fairgrounds at all times. The Security Service will deny access to the venue for persons without passes or permits.

3.2. Delivering exhibits and equipment not subject to customs clearance

Registration is held and Delivery/Removal Passes are issued at the Advanced Dispatcher’s Office (PDP) located near Entrance Gates Nos. 1 and 2.

One-entry vehicle passes are issued only after all the payments have been made.

Vehicles delivering/removing exhibits enter the Fairgrounds on presentation of valid one-entry delivery/removal passes. The one-entry passes are issued at the Dispatcher’s Office near the appropriate Entrance Gate on the date of entry.

Delivery/removal procedure:

We strongly encourage you to make payments by the due date. Exhibitors that will have failed to pay for the rented space, ordered equipment or additional services by May 22, 2012 will not be allowed to deliver their exhibits to Expocentre Fairgrounds or start mounting their stands.

Step 2. Submit the General Power of Attorney (D.01) or the Power of Attorney for Delivery Driver or Person Accompanying the Exhibits to obtain one-entry passes (D.01А) and 2(two) copies of Delivery/Removal Permit Application/Consignment Note (D.03).

The Application/Consignment Note shall be issued on a company letterhead, and duly stamped and signed by the Company’s CEO.

Besides the names of exhibits and equipment the list is to contain maintenance accessories and household appliances if delivered.

Attention:

If required, before delivering the above items to Expocentre Fairgrounds, get the delivery approved with (please see the Enclosure):

1) Fire Station No 160: approval is mandatory in relation to stand structures, fittings and construction materials (please see the Enclosure);

2) Expoconsta ZAO: approval is mandatory in relation to the stand layout and number of stand levels, stand fittings, structures and materials, carrying out of electrical and plumbing works, rigging and suspension of decoration items to the pavilion structures;

3) Servicexpo: approval is mandatory in relation to delivery of radio electronic and high-frequency devices, as well as projection equipment owned by a third party;

4) Capital Construction Department: approval is mandatory in relation to delivery of heavy-weight and bulky exhibits;

Step 3. Show the General Power of Attorney (D.01) or the Power of Attorney (D.01A) and one copy of the Delivery/Removal Permit Application/Consignment Note (D.03) tell the registration number of the vehicle entering the venue to the Dispatcher of PDP.

Step 4. Get a one-entry pass from the Dispatcher of PDP. Receive the information from the Dispatcher on the availability of empty parking lots near the Pavilion and the time of your entrance to the venue and proceed to the Entrance Gate.

Step 5. Show the one-entry pass, one copy of the Delivery/Removal Application/Consignment Note (D.03) to the Security Officer at the Entrance Gate, and submit the vehicle for a security inspection. The Security Officer will indicate the time of entrance in the pass.

Step 6. Proceed to the load/unload site and show one copy of the Delivery/Removal Application/Consignment Note (D.03) to the Manager of the Pavilion where your stand is located. The place to park your vehicle at the assembly gate will be indicated by a security officer.

One copy of the delivery/removal application shall be retained by the exhibitor; the other copy shall be submitted to the Administration of the Pavilion or of the Open Air Site.

Hand carried exhibits, office equipment and appliances are to be delivered to the venue against a one-entry pass. One-entry passes shall be obtained with the Manager of the Pavilion where the Exhibitor’s stand is located. One-entry passes shall be issued against the completed Delivery/Removal Application/Consignment Note (D.03) (2 copies: one copy shall be kept by the Exhibitor, the other copy shall be submitted to the Pavilion Manager).

Hand carried exhibits, office equipment and appliances are to be collected against an inventory pass that shall be obtained with the Manager of the Pavilion where your stand is located. Inventory passes shall be issued against the completed Delivery/Removal Application/Consignment Note (D.03).
