2. Participant registration

Any company or organization, interested in participating in the exhibition should send to the Organizers a filled and signed «Application form for participation in the exhibition», order for any additional services, and information for the official catalogue and then make a contract on participation in the exhibition(the application forms are enclosed).

In case of raw exhibition space booking the exhibitor is obliged to coordinate the booth engineering factors. The booth planning (design draft) with the connections diagram and the indications of the requested power level should be provided to the Organizers. The following document must also be presented:

·  The copies of fire safety certificates for all materials, used during the booths’ mounting.

·  The protocol of the insulation-resistance test of any electrical equipment, wires, cables, used by the company, having the respective licenses.

·  Passport for any electrical equipment and hardware.

On the bases of the received applications the Organized sends the participant the invoice to be fully paid not later August 05, 2013.

3. Participation fees

ALL PRICES INCLUDING VAT!!!

Registration fee (exhibition) for each participating company – 250 EUR, includes:

·  exhibition advertising campaign;

·  Publication of the official catalogue (50 words excluding prepositions, in Russian and English, logos and contact details);

·  1 copy of the exhibition catalogue;

·  1 invitation to the official reception;

·  10 invitations to the exhibition;

·  accreditation of the company representatives (1accreditation for 4 sq. m.) with provision of participant’s badges;

·  participation in the exhibition events (except events requiring the personal invitation);

·  general security of the pavilion;

·  general cleaning of the pavilion;

·  on-line registration of participants;

·  set of information materials;

·  1 access card for participant’s transport during mounting/dismantling period

Registration fee (trade fair) for each participating company – 150 EUR, includes:

·  accreditation of the company representatives (1accreditation for 4 sq. m.) with provision of participant’s badges

·  participation in the exhibition events (except events requiring the personal invitation),

·  on-line registration of participants

·  publication of the information on the official web-site

·  exhibition advertising campaign

·  set of information materials,

·  5 invitations to the exhibition

·  1 access card for participant’s transport during mounting/dismantling period

Minimum size of the linear exhibition booth – 4 sq. m.

Minimum depth of the exhibition booth – 2 m.

For demonstration of his products (goods, services) the PARTICIPANT of the EXHIBITION may rent:

-  Standard exposition booth;

-  Exposition booth with the individual design

-  Indoor equipped exhibition space

-  Indoor unequipped exhibition space in the pavilion for exhibition booth;

-  Outdoor exhibition space;

For demonstration of his products (goods, services) the PARTICIPANT of the TRADE FAIR may rent:

-  Indoor equipped trade fair space;

-  Indoor unequipped trade fair space;

-  Outdoor trade fair space.

The planning of the exhibition, modifications, and/or any alternatives shall be made ONLY by the Organizer and may not be disputed by the exhibitors.

·  Trade stalls

The outdoor trade fair includes the trade stalls presenting foodstuffs, seeds, garden inventory, plant protective agents, folk crafts products, consumer goods. For participation in the trade stall the exhibitor must have all regulatory documents (active on the territory of the Russian Federation). The organizers of the public catering must coordinate the scope of realized products with the Central sanitary-hygienic station of the Vasilievsky district.

All places for vehicle-based trade are assigned only by the Organizer.

4. Official catalogue

The information materials to the official catalogue are accepted no later than August 05, 2013.

The information file shall be filled in according to the Form 10 and 11 send to the participation

The registration fee includes publication of the participant’s information in the official catalogue (50 words, excluding prepositions, both in Russian and English, and his contacts).

The cost of publication constitutes 130 EUR. Information for publication in the official catalogue shall be presented as electronic document both in English and Russian. The size of the text shall not exceed 500 signs (for each language), excluding prepositions but including punctuation marks.

Notes:

·  The information exceeding 50 words shall be paid extra according to the basic rats for advertising in the official catalogue.

·  In case of participation fee not being made in full measure the participant’s information shall not be included into the official catalogue.

5. Distant participation

Distant participation – 225 EUR (FORM №12)

Includes:

·  Publication of the company’s information in the official catalogue;

·  1 copy of exhibition catalogue;

·  distribution of the advertising materials via the information stand.

6. Work of advertisers

The work of advertisers (promoters) outside the exhibition booth shall be permitted only after the payment of their accreditation (FORM №13).

The work of advertisers (promoters) outside the exhibition booth shall not cause any inconvenience to other participants and visitors.

Note:

The Organizers reserve the right to remove from the exhibition area the promoters having not received the accreditation.

7. Participation fee

The complete payment for participation in the exhibition shall be made no later than August 05, 2013. The payment shall be confirmed by the copy of the payment commission with the bank remark about the payment in full measure for all required services, including VAT (18%). The payment in cash shall be made only in Service-Bureau (Pavilion 4, 10.00-17.00 during the working days).

The participant’s booth location is considered reserved only after the payment of the advance payment at the rate of 50% of total exhibition area rental cost and 100% of registration fee (shall be paid in 10 business days after receipt of the invoice).

The final payment for the exhibition participation shall be made no later than August 05, 2013.

In case of violating of the stated dates the Organizers reserve the right to change the location of the booth within the pavilion or move the booth into another pavilion, having informed the participants about the situation, or even refuse the participant to provide the requested services.

ATTENTION!

Without the prepayment having been made at the rate of 100% the participant is not allowed to enter the exhibition and the exhibition booth construction shall not be made.

8. Participation withdrawal

In case of the exhibition withdrawal after August 05, 2013 the exhibitor suffers the penal sanctions at the rate of 100% of the whole participation cost.

In case of exhibition space reduction by the exhibitor the Organizer reserves the right to change the location of the booth within the pavilion or move the booth into another pavilion, having informed the participants about the situation.

9. Exhibition regulations

·  Exhibition booth and participant’s conduct shall not cause any inconvenience to other participants.

·  Participant may start the dismantling works only after the exhibition closing on August 29, 2013 (at 19.00).

·  Booth cleaning, as well as cleaning of the occupied area is executed by the Participant, or by special services, according the participant’s order and at his own expenses.

·  During the exhibition every Participant should send his representative to the Pavilion opening at 09.00 and its closing at 19.00

10. Cargo handling

All transport-forwarding services and concomitant customs formalities and works done on the territory of exhibition complex, located at 103, Bolshoy pr., V. O., St. Petersburg should be performed by LTD «PAN-BALT Service» which possesses an exclusive right to execute the above mentioned operations and services.

Any participant or his forwarding agent should negotiate an individual contract with the «PAN-BALT Service» company for executing of works mentioned above not later than 2 months before the exhibition beginning. Phone No.: + 7 (8

11. Security and Safety

During the whole period of the exhibition work the Organizers provide the procedure of general security of the exhibition, twenty-four-hour maintenance of public order at the exhibition area, excluding the particular security of the exhibits and other tangible property, owned by the participant.

The organizer is not responsible for safety of the exhibits and other tangible property, owned by the participant.

12. Copyright and related rights compliance

The Participant (Exhibitor) refuses the intention of public performance of any creative products during the exhibition.

In case of public performance of any creations (writings, phonograms, performances, game performances, declamations, singing, dancing, presentation of the audio-visual creations) during the exhibition, the participant must independently negotiate the contracts and make all the payments, connected with the usage of the subject matters of copyright or related rights by himself, his colleagues or partners during the period of the present contract activity.

In case of any kinds of reclamations towards the Organizer, connected with the usage of the subject matters of copyright or related rights by the Exhibitor or the third persons, invited by the exhibitor onto the territory of exhibition complex, located at 103, Bolshoy pr., V. O., St. Petersburg, the participant is obliged without resort to courts to compensate the material losses, suffered by the Organizer and caused by the following reclamations, including the sums stated in the plaintiff’s claims.

If the participant violates the above-listed “Terms of participation” he will not be admitted to the exhibition.

13. EXECUTION OF PARTICIPATION

Company or organization that wants to participate in the exhibition, send to the organizers of the completed and signed "Application for participation in the exhibition" (FORM 1) signed by the head of the organization and the chief accountant, appropriately stamped, orders for additional services, information for the directory.

JSC "EspoForum" offers a simplified way to participate in exhibitions - by accepting a public offer of JSC "ExpoForum".

"Public Offer" / "Offer" - a public offering of the Organizer, addressed to an undetermined number of people - to any legal person: the enterprise, company or organization of any form of ownership or individual entrepreneur (hereinafter: the exhibitor) conclude a contract for the provision of temporary possession and use ( sublease) indoor (equipped or unequipped) or the outdoor exhibition area, belong to the Organizer the right to lease the existing terms and conditions contained in the General Conditions of participation, organization and holding of exhibitions and other events, Exhibitor Manual, Application for participation in the exhibition.

"Acceptance" or to confirm that the exhibitor to participate in an exhibition at the proposed conditions of the Offer, in accordance with paragraph 3 of Article 438 of the Civil Code, is to pay the exhibitor booked exhibition space and / or services.

Acceptance of the offer is equal to sign the agreement to the terms set out in the offer.

Representative of the Exhibitor must have a power of attorney to sign documents (acts of works) at the exhibition - Form 25.

In case of the order of raw exhibition space and self-sustaining construction of exhibition booth the exhibitor or the external company-builder shall negotiate all specifications of the exhibition booth, namely: booth plan (design project) with the provision of power connections plan and indication of the required power rate. The exhibitor also undertakes to pass the examination of the project and construction documents.

For organization of the examination of the project and construction documents, as well as carrying out the safe mounting/dismantling operations and control of the specifications of the used materials and structures the exhibitor or the external company-builder shall be charged the fee at the rate of 3 EURO per 1 sq. m. of the provided exhibition space (excluding VAT).

Applications sent by Fax or e-mail, shall be recognized as equal legal force instances of the documents with the original signature and stamp.

The organizers reserve the right to change prices for participation in the exhibition in its sole discretion. The layout of the premises of the participant in the pavilion is provisional. The organizers reserve the right to change the location of the participants in the pavilion depending on the technical appropriate in its sole discretion. The cost of participation does not depend on the change of the location of the stand. Participant can start dismantling of the exposition and complete the work at the exhibition only after its closure. The participant is not entitled to transfer rights and obligations under this contract to third parties.

The organizers on the basis of the applications received, send Party account, which must be fully paid for within three banking days.
